BrawnPro ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our cloud-based business management platform at brawnpro.com (the "Service"). Please read this policy carefully. By using the Service, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your name, email address, business name, phone number, and password. If you sign up via Google, Apple, or Facebook, we receive your name and email address from that provider.

1.2 Business Data

Information you enter into the Service in the course of using it, including customer records, invoices, estimates, forms, e-signatures, photos, inventory data, calendar entries, notes, and communications ("User Data"). You retain full ownership of all User Data.

1.3 Usage Data

We automatically collect information about how you access and use the Service, including your IP address, browser type and version, device information, operating system, pages visited, features used, time spent on pages, and referring URLs.

1.4 Payment Information

If you subscribe to a paid plan, payment is processed through Stripe. We do not store your credit card number or full payment details on our servers. We may receive and store limited billing information such as your billing name, address, and the last four digits of your payment method for record-keeping purposes.

1.5 Cookies and Similar Technologies

We use essential cookies for authentication, session management, and user preferences. We do not use third-party tracking cookies, advertising cookies, or behavioral tracking technologies. See Section 9 for more details.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process transactions and manage your subscription

Stripe — Secure payment processing. Stripe is PCI DSS Level 1 compliant.

Brevo (formerly Sendinblue) — Transactional and marketing email delivery

Accounting Integration

Intuit QuickBooks Online — Financial data synchronization (see Section 4 for details)

AI Voice Services

ElevenLabs — AI voice synthesis for the phone agent feature

We may also disclose your information when required by law, subpoena, or legal process, or in connection with a merger, acquisition, or sale of assets (with notice to affected users where feasible).

4. QuickBooks Online Integration

BrawnPro offers optional integration with Intuit QuickBooks Online to help you synchronize your financial data. This section describes how we handle data related to this integration.

4.1 What Data Is Accessed

When you connect your QuickBooks Online account, we may access:

  • Company information (business name, address)
  • Customer and vendor records
  • Invoice and payment data
  • Product and service items
  • Account and financial category information

4.2 How QuickBooks Data Is Used

QuickBooks data is used solely for the purpose of synchronizing your financial information between BrawnPro and QuickBooks Online. We do not use your QuickBooks data for advertising, analytics, or any purpose unrelated to providing the sync functionality you have authorized.

4.3 Data Storage and Security

QuickBooks data accessed through the integration is stored securely in our encrypted database. Access tokens are stored securely and are used only to maintain your authorized connection. We do not store more data than is necessary for the sync functionality.

4.4 Disconnecting QuickBooks

You may disconnect your QuickBooks Online integration at any time through your BrawnPro account settings. Upon disconnection, we will revoke the access token and cease accessing your QuickBooks data. Previously synced data stored within BrawnPro will remain in your account unless you request its deletion.

5. Data Security

We take the security of your data seriously and implement industry-standard measures to protect it:

  • Encryption in Transit: All data transmitted between your browser and our servers is encrypted using TLS/SSL (HTTPS)
  • Encryption at Rest: Your data is stored in encrypted databases on Neon's secure PostgreSQL infrastructure
  • Secure Hosting: The Service is hosted on Vercel's enterprise-grade infrastructure in the United States
  • Authentication: Passwords are hashed using industry-standard algorithms and are never stored in plaintext
  • Access Controls: We implement role-based access controls and limit employee access to user data on a need-to-know basis

While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to promptly addressing any security incidents.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service to you. Specifically:

  • Active Accounts: Your data is retained for the duration of your active subscription
  • Cancelled Accounts: After cancellation, we retain your data for up to 90 days to allow for account reactivation, after which it will be deleted or anonymized
  • Deletion Requests: You may request deletion of your data at any time by contacting us at support@brawnpro.com. We will process deletion requests within 30 days
  • Legal Requirements: We may retain certain data as required by applicable law, such as billing records for tax purposes

7. Your Rights

You have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of any inaccurate or incomplete personal information
  • Deletion: Request deletion of your personal information and account data
  • Data Portability: Request an export of your data in a commonly used, machine-readable format
  • Disconnect Integrations: Disconnect any third-party integrations (including QuickBooks, Stripe, etc.) at any time through your account settings
  • Opt Out: Opt out of non-essential communications at any time

8. California Consumer Privacy Act (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to Know: You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the sources of that information, the business purpose for collecting it, and the categories of third parties with whom we share it.
  • Right to Delete: You have the right to request that we delete the personal information we have collected from you, subject to certain exceptions.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. We will not deny you the Service, charge you different prices, or provide a different level of quality based on your exercise of privacy rights.
  • No Sale of Personal Information: We do not sell your personal information to third parties. We have not sold personal information in the preceding 12 months.

9. Cookies

BrawnPro uses a limited number of cookies that are essential for the Service to function properly:

  • Session Cookies: Used for authentication and maintaining your logged-in session. These expire when you close your browser or after a period of inactivity.
  • Preference Cookies: Used to remember your settings and preferences (e.g., theme, language). These persist across sessions.

We do not use third-party tracking cookies, advertising cookies, or any cookies that track your activity across other websites. We do not participate in ad networks or behavioral targeting programs.

10. Age Requirement

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from individuals under 18. If we become aware that we have collected personal information from a individual under 18, we will take steps to delete that information promptly. 11. International Data Transfers

The Service is hosted in the United States. If you access the Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country of residence. By using the Service, you consent to the transfer of your information to the United States.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors.
